This Privacy Policy explains how we collect, use, disclose, and protect personal information when you use the Site or interact with us. It is intended to meet obligations under Alberta’s Personal Information Protection Act (PIPA) and Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) where applicable.
By using the Site, you consent to the practices described below. If you do not agree, please do not use the Site.
1) What we collect
1.1 Information you provide directly
Contact details (name, email, phone, mailing address)
Matter details submitted through forms or email
Invoice/Payment details such as invoice number and amount (see §5 for payments)
Preferences and communications (e.g., when you subscribe or request information)
1.2 Information collected automatically
When you visit the Site, we (and our service providers) may automatically collect:
IP address, device and browser type, operating system
Pages viewed, links clicked, referrer/exit pages, session timestamps
Approximate location inferred from IP address
Cookies and similar technologies (see §7)
1.3 Information related to recruitment or events (if applicable)
Resumes/CVs, attendance details, and related information you choose to provide.
We do not collect or store full payment card numbers or CVV codes on our systems. See §5.
2) Why we collect (purposes)
We use personal information to:
Provide legal and related services and respond to inquiries
Process invoices and payments, issue receipts, and reconcile accounts
Comply with legal, regulatory, and Law Society of Alberta requirements (e.g., conflicts, trust accounting)
Prevent fraud and ensure security of the Site
Operate, maintain, and improve the Site (analytics, performance)
Communicate about your matter, our services, events, or updates (with consent as required)
Our legal bases include your consent, performance of a service/request, compliance with law, and our legitimate interests in operating a secure, effective practice.
3) Online payments (Square Hosted Payment Links)
We offer online payments through Square, Inc. (“Square”) using Square’s Hosted Payment Link:
When you click Pay, you are redirected to a Square-hosted checkout page.
Card information is entered directly on Square’s page and is not collected or stored by our Site.
We receive limited information from Square (e.g., name, email, amount, date, last-4 digits, transaction ID, invoice/reference number) to reconcile payments, issue receipts, and maintain accounting and compliance records.
Your payment is also governed by Square’s Terms and Privacy Policy. Square may process and store data outside Alberta/Canada (including the United States).
If we ever request retainers or trust deposits online, those payments will be handled in accordance with the Law Society of Alberta rules and our written instructions.
4) Sharing and disclosures
We do not sell personal information. We may share information with:
Service providers who assist us (e.g., Square for payments, website hosting, email and IT providers, analytics, document storage, accountants). These providers may be located outside Alberta/Canada; we use contractual and other safeguards appropriate under PIPA/PIPEDA.
Legal/regulatory authorities where required by law or to protect our rights, clients, or the public.
Business transitions (e.g., merger or reorganization), subject to appropriate safeguards.
5) Retention
We retain personal information only as long as necessary for the purposes described, including:
Client and accounting records: typically at least seven (7) years after the file closes, or longer if required by the Law Society of Alberta or other laws.
Website analytics/cookies: per the lifespans noted in §7.
When no longer required, information is securely destroyed, erased, or anonymized.
6) Security
We employ administrative, technical, and physical safeguards appropriate to the sensitivity of information (access controls, encryption in transit, secure hosting). Square is independently validated for PCI DSS card security.
No method of transmission or storage is 100% secure; we cannot guarantee absolute security.
7) Cookies and similar technologies
We use cookies and similar tools to operate and improve the Site.
Functional cookies: remember choices (e.g., preferences).
Analytics cookies: help us understand usage (pages, time on site).
Targeting/advertising cookies (if enabled): tailor content/ads to your interests.
You can control cookies via your browser settings; disabling cookies may affect Site functionality.
8) Your choices & rights
Subject to legal limits, you may:
Access and request a copy of your personal information
Request correction of inaccurate information
Withdraw consent (where processing is based on consent). Withdrawal may limit our ability to provide services or accept payments.
Ask questions or make a complaint about our privacy practices. You may also contact the Office of the Information and Privacy Commissioner of Alberta.
We will respond to verified requests within timelines required by law.
9) Children
The Site is not intended for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided information, contact us and we will delete it as required.
10) Email communications (CASL)
We may send transactional or service emails (e.g., invoice/receipt, appointment details) without separate marketing consent. We send marketing emails only with your express consent; you can unsubscribe at any time using the link in the email or by contacting us.
11) Changes to this Policy
We may update this Policy from time to time. Changes are effective when posted on this page with a new Effective date. Material changes may also be communicated by email or prominent notice on the Site.
